What Does CRM Cost for a Small Service Business?

The subscription cost starts with your team

For a small service business, CRM cost is easier to assess when you separate the subscription from the work surrounding it. Start with the people who need licensed access, then compare the same user count and billing period across suppliers.

A headline monthly price can mean a monthly contract or an annual payment expressed as a monthly equivalent. Those are different commitments. Use the actual billed amount when comparing cash flow.

Client Craft charges per user. You do not choose a more expensive feature tier to unlock product functions. Permissions and the number of licensed users are separate questions.

Monthly flexibility or annual cost

At the published prices, annual billing is €160 less per user than twelve monthly payments. For three users, that is a €480 difference across a year. These are subscription comparisons before VAT, not a prediction of savings elsewhere in your business.

The annual price is equivalent to approximately €16.67 per user per month, but that does not mean an annual subscription is billed at €16.67 each month. Check the current checkout and subscription terms before purchasing.

A stable team may value the annual price. A business still deciding who needs access should first establish its requirements rather than choosing the longest commitment solely for a lower equivalent rate.

What the published website offer includes

The published Client Craft offer includes a five-page, one-language business website with a blog and hosting, alongside platform access. It states there is no setup fee. A custom domain is separate.

That offer can change the comparison if you need both a website and a CRM. Compare it with the combined cost of the website, hosting and customer-management system you would otherwise buy.

If you already have an Umbraco website, discuss the existing-site route. Do not assume that a website offer covers every bespoke migration, design request or integration requirement.

Costs beyond the licence

Budget for the parts of the project that are specific to your business. These may include preparing customer records, reviewing forms, training people, buying a domain or requesting additional services.

VAT and payment-provider charges are not the same as the CRM subscription. Confirm which charges apply to your setup and who bills them. Avoid comparing one supplier’s tax-inclusive total with another supplier’s pre-tax price.

Ask for any additional scope to be described before agreeing to it. A useful quote identifies what is included, what remains your responsibility and what would require a separate agreement.

Do more Client Craft features cost extra?

Client Craft’s product pricing is per user, with product functions included rather than sold through feature tiers. Additional services, third-party costs and commercial arrangements should be assessed separately.

How should I decide whether a CRM is worth the cost?

Compare the subscription with a real operational problem: duplicated customer records, missed follow-ups or time spent reconstructing enquiry history. Use your own time and sales data. A CRM does not guarantee that enquiries will convert.
